Configuring vragen.ai
vragen.ai works right after the first crawl. If you want to tailor its behavior to your organization, audience and channels, you can do so with the settings below.
1. Set up knowledge scopes
Determine which sources may be used when generating answers. This can be done at different levels:

Website URLs, PDFs or intranet pages

Specific folders, sections or document types

Scopes per audience or channel (e.g. citizen vs. employee)
Useful for organizations with multiple domains or departments.
2. Fine-tune search behavior
By default vragen.ai searches contextually (semantically), but you can influence the behavior:

Only search within recent documents
-
Limit search results to specific terms
-
Give weight to certain sources (e.g. up-to-date documents)
This prevents outdated or irrelevant answers.
3. Set the generation approach
You can determine how the answer is generated:

Summarize: Short, concise answer with source attribution

Paraphrase: Clear rewording of existing content
-
Quote: Direct quotes from the source (optional per channel)
Choose the variant that fits your tone of voice and risk profile.
4. Answer style & tone of voice
Set the writing style of the answer: formal, friendly, clear, businesslike or informal. Think of:

Citizen-facing: calm, explanatory, with example sentences

Internal use: task-oriented and concise
-
Legal or policy-related: precise and cautious
You manage this via the system prompt and can adjust it yourself.
5. Prompt tuning & instructions
Want to give the system specific rules? You can add instructions such as:

"Always reference the source at the bottom."

"Never answer medical questions."
-
"Answer in an informal tone, unless it concerns a formal letter."

"Only add a search link if there is no direct answer."
6. Manage example questions
Give users a flying start by adding example questions to the window:

Per audience (external / internal)

Per page or embed location
-
Dynamically or manually configurable
7. Set fallback behavior
No answer found? Then you can configure:

What is said ("I'm not sure, but you can search here...")
-
Whether a search link or a manual contact option is shown

Whether the system may say that something is unknown
Without a fallback, a visitor gets an empty screen when asking an unknown question; with a fallback, a clear message or a search link.
