An AI chatbot for SMEs: what to look for and what to skip
Large companies already use AI twice as often as SMEs, and technology is not the reason. What to look for when choosing without an IT department, what it costs, and what you can safely skip.
Large companies now use AI more than twice as often as SMEs: 66.2% against 29.8% in 2025, and 13.8% at companies with fewer than ten people, according to Statistics Netherlands. Interest is not the problem. Budget usually is not either. The difference is that a large company can put a team on such a project, while you decide about it on a Tuesday afternoon, next to your regular work.
This article is for that Tuesday afternoon. Whether you call it an AI chatbot or an AI site search: it is the same tool, an assistant on your website that answers visitors' questions directly. Below is what to look for when you choose one without your own IT department, and just as important: what you can safely skip.
Three requirements that make the difference
1. Answers from your own content, with the source attached
The difference between a chatbot that helps customers and one that chases them away is not how smoothly it talks. It is where the answers come from. An assistant that answers from your own pages, and shows with every answer where it found it, can be checked. A bot that generates freely will invent a return policy on a bad day. 2. It runs without an IT department
An SME does not need an implementation project, just a line of code in the site or a plugin for WordPress. Anything that asks more than that, from a "discovery phase" to a dedicated project team, was built for organisations with more people than you have. Lead time should be counted in days, not months.
3. It honestly says when it does not know
The most expensive mistake a chatbot can make is a made-up answer to a customer who trusts it. A good assistant says "that is not in our information" and then refers to a human, phone number or form included. It feels like a limitation and it is your protection.

The checklist before you choose
- Does it show the source with every answer, clickable, so you and your customer can check where it came from?
- Where does it run: in the Netherlands or the EU, and is there a data processing agreement you can actually read? How we handle this is public on our security page; feel free to use it as a yardstick for other vendors.
- Can you configure the legally required AI notice? Since 2 August 2026 visitors must know they are talking to AI.
- Can you see which questions visitors ask, literally? That is half the value: every question without a good answer is a page missing from your site.
- Is the price predictable in a busy month, or do you pay per conversation so the bill grows with your success?
- Does it work with a keyboard and a screen reader? Accessibility is not an extra, and a hard requirement if you sell to government or healthcare.
- Can it grow from search to assistant, so you will not be choosing all over again next year?
What you can safely skip
Sentiment analysis dashboards, omnichannel suites, an upfront "AI strategy project": all built for organisations with a team to look at them. At twenty questions a week they add nothing; you read those twenty questions yourself in ten minutes, and that works better.
And sometimes the honest answer is that you do not need a chatbot at all. If you rarely get repeat questions and your information fits on three clear pages, a good FAQ page does the same job, for free. An assistant becomes valuable the moment visitors stop working through your content themselves, or your team keeps answering the same questions by email.

- Collect the ten questions you get most often by email or phone. Ask your colleagues; they know them by heart.
- Check whether the answer is on your website. Write the missing pages; that is the best preparation there is, because that is where any assistant gets its answers.
