What does an AI chatbot for your website cost?

Custom builds quickly run from 8,000 to 25,000 euros, and SaaS tools charge per conversation. Where those figures come from, where the hidden costs sit, and our own prices right alongside.

Search for what an AI chatbot costs and you find wide ranges from 500 to well over 10,000 euros, with a quote request standing in for the real figure. That makes sense: most pieces about chatbot costs are written by parties who only name their own price in the sales conversation. For the record, there is a demo button at the bottom of this article too. The difference is that our figures are already above it.

Below are the real figures from the market, the places where the hidden costs sit, and our own prices. One thing first about the word chatbot: everybody searches for it, so we use it here too. We ourselves sit in a different category, the AI search function: answers from your own content, with the source included with every answer. That distinction explains further down exactly why the prices vary so much.

Two routes, two price tags

Route 1: having a chatbot built

Development agency Mobilions is one of the few agencies publishing concrete budget figures: a rule-based chatbot costs 2,000 to 8,000 euros, an AI-driven version 8,000 to 25,000 euros, and a custom build with integrations to a CRM for instance starts at 25,000 euros (in Dutch). That is the build. After that come the monthly costs for hosting, the AI model and maintenance, and those move with the number of conversations.

That 25,000 euros is a starting point, not a ceiling. As soon as the AI has to do more than answer questions, it becomes a full software project and the total can end up a multiple of that. Think of connections to internal systems, bespoke widgets, or tasks the AI carries out on its own. Which makes sense: you are having your own application built, and it gets exactly as clever as your situation demands. What becomes possible once AI can also do things is a story in itself. This article is about the layer where nearly every organization starts: answering questions from your own content.

Route 2: a SaaS tool on a subscription

The entry point is far lower here: most tools start at a few tens of euros per month for a limited bundle of messages or conversations, and run up to several hundred euros per month at larger volumes. International tools often add usage costs on top of the subscription for the heavier packages, and bill in dollars.

The subscription amount is rarely the whole story here. The limits determine what you actually pay: go over your bundle and you pay extra or have to move up a package. And a chatbot that works well is exactly the one that gets more conversations every month.

Where you land in that range depends on two things: how many questions you get, and what the answers have to be able to do. A generic chatbot for a small website sits at the bottom. An organization wanting to answer thousands of questions a month from its own content, with a source alongside every answer, sits at the top or above it. So don't count on the entry rate of any tool, ours included.

What the bill really consists of

Four items determine the real cost, and three of them aren't on the pricing page.

1. The billing unit

Per conversation or per message: it sounds like a detail, but it decides whether your bill is predictable. With billing per conversation, a busy quarter, a campaign or simply success means a higher invoice. Always ask what happens the moment you go over the limit: does the chatbot stop, do you pay extra automatically, or does someone call?

2. The setup

With a custom build, the setup is the main cost, as above. But tools often come with an implementation project or a mandatory onboarding package for the first few months. Count that into the first year: a subscription of 79 euros a month with 2,500 euros of setup costs comes to more than three times what the bare subscription suggests in year one.

3. The content

An AI chatbot that answers from your own knowledge is as good as that knowledge. With many tools the real work starts after purchase: collecting documents and writing question-answer pairs, and then keeping it all current. Those are internal hours that appear on no quote. It makes a considerable difference when your website itself is the source: you maintain that anyway, and the tool picks up the changes automatically.

4. A wrong answer

The most expensive chatbot is the cheap one that answers wrongly. Digimonitor assessed 39 municipal chatbots and rated 312 answers: 10% were correct, 64% were wrong. Fair is fair: there are cheaper tools, and for a small website that wants to offer a standard exchange they are often perfectly fine. Six questions for any supplier

  • What happens when we go over the monthly volume: does it stop, do we pay extra automatically, or do we have to move up a package?
  • Are there setup or implementation costs, and are they mandatory?
  • Who fills and maintains the knowledge, and how many of our own hours does that take per month?
  • What does an extra website, language or channel cost?
  • How long are we tied to the contract?
  • Is the price public on the supplier's website?

That last question is a good first filter. A supplier who only names their price in a conversation sets that price based on the conversation.
